Academic Scholarship Policy

 

Applying for Financial Aid: Xavier University’s scholarship recipients may be eligible for federal and/or state aid. Parents and/or students who are U.S. citizens or eligible non-citizens who receive Xavier institutional scholarships must annually have the Free Application for Federal Student Aid (FAFSA) on file. Guidelines established by the University’s Office of Student Financial Aid, in accordance with federal and state regulations, will be utilized to calculate the student’s financial aid amount and direct cost of education.

Scholarship Adjustments based on Direct cost: Xavier scholarships carry no cash value.  The sum of institutionally administered or affiliated scholarships, federal grants, state awards, and waivers shall not exceed a recipient’s direct costs (tuition, mandatory fees, and room and board). Should the institutional scholarship, when combined with the previously described resources, exceed the direct cost, the amount of the University’s institutional scholarship shall be adjusted accordingly.

Academic scholarship terms: Academic Scholarships are renewable for up to 8 consecutive semesters. Full scholarships cover up to the value of Arts and Science tuition only.

In order for an academic scholarship to be applied each semester of eligibility, the following criteria must be met.  If students meet all of the criteria, the scholarship will automatically renew.  Failure to do so will result in the cancellation of your scholarship.

  • Have a valid FAFSA on file each academic year.
  • Enroll as a full-time student each semester (at least 12 credit hours).
  • Maintain an overall cumulative GPA of 3.1 or higher at the end of each academic year. (See chart below)
  • Complete at least 30 credit hours each year. (See chart below)

Credit Hours Completion 

  • 30  by the end of the first year
  • 60 by the end of the second year
  • 90 by the end of the third year

Transferable college credits (transfer and AP credits) and summer credits earned can be used to meet the annual credit requirement.

Scholarship Reduction:

  • A scholarship amount reduction will be granted to students who do not meet the retention criteria but earn a cumulative GPA of at least 3.0.
  • You will be eligible to receive a scholarship amount equal to 75% of your initial scholarship award.
  • Once your scholarship has been reduced to 75%, you will no longer be eligible for a full scholarship award.  The award will remain at 75% as long as you retain a 3.0 cumulative GPA.
  • If you earn less than a 3.0 cumulative GPA, your award will be permanently canceled.

 

Summer Grace Period:

  • While the scholarship does not pay for summer sessions, courses taken at Xavier during the summer will count toward your cumulative GPA in your attempt to meet retention requirements.
  • Courses taken during the summer will also count toward your credit hour completion in your attempt to meet retention requirements.
  • Any courses taken at another institution during the summer must be first approved by the Office of Registrar.  Transcripts must be submitted to Xavier immediately after the semester is complete.
  • Courses taken at other institutions can only be used to fulfill the credit hour requirement.

 

 Continuous Enrollment: 

  • Institutional scholarships awarded to first-time freshmen are renewable for up to eight (8) consecutive semesters.
  • A break in enrollment may result in the cancellation of the Academic Scholarship.

 

Leave of Absence: 

  • Students who need to withdraw for a semester due to medical or non-medical reasons will be reviewed for a Leave of Absence.
  • The Scholarship Leave of Absence form must be completed and submitted to the Office of Financial Aid & Scholarships via scholarships@xula.edu.
  • For medical leave of absence, documentation from a doctor/health care provider must be submitted along with the Scholarship Leave of Absence form prior to review.
  • For medical leave of absence, upon student return, documentation from a doctor/health care provider must be submitted releasing the student to continue classes.
  • Students may not attend any other University while on the leave of absence.
  • Academic Scholarship funds will be available upon return as long as the renewal requirements were being met at the time of the leave of absence.
  • Non-medical leave of absence will only be approved for one (1) semester.  Students should plan to return the semester following the approved leave of absence.
  • If approved, a student will only be allowed one (1) non-medical leave of absence.

 

Graduating Seniors

  • Graduating seniors may be granted an exception to the full-time status requirement during your final semester.
  • Students must obtain a degree audit from their academic advisor and submit it to the Office of Student Financial Aid & Scholarships via scholarships@xula.edu prior to the add/drop deadline.
  • Scholarships may be adjusted based on the number of credit hours taken and tuition charges.
